The Seventeenth Conference on Health Care of the Chinese in North America on Saturday - Sunday, October 11-12, 2014, is inviting professionals and individuals who have original research findings relevant to the health and health problems of the North American Chinese population to submit abstracts for presentation at the Conference.  The Conference objectives are:

General Instructions

An Abstract is a brief summary (approximately 250 words, not including authors and titles) of the specific ideas or concepts to be presented and a statement of their relevance to practice or research.  The following two types of abstracts may be presented:

• An original research abstract includes a brief statement of aims, description of the research methodology, that includes design, subject characteristics, and procedures; the major findings; and the conclusions or implications on clinical and/or medical practice

• A project or program report abstract contains information about the need or purpose for such a program, project, or tool development; the theory or previous research upon which it is a program, or tool; the characteristics of the subjects or target audience involved; and the type of evaluation or proposed use for the tool or instrument developed.  Additional material may include reviews and critiques of the current literature, state-of-the science discussions, and discussions on clinical controversies

Presentations that constitute a promotion or an advertisement are prohibited.  This specifically includes the pervasive or inappropriate use of logos.  No materials are to be sold during the presentation or at the conference.

Types of Presentation

Presenting author will note preference for presentation type. The Scientific Program Planning Committee will make the final decision on assigning the type of presentation for each abstract. 

• Oral Session Each presenter will be allotted 10 minutes for his or her presentation; and the session will close with a 5 minute group question-and-answer period.  Presenters are required to remain in the room throughout their assigned session.
  

• Poster Session Presentations will be located in a poster presentation area. Author(s)/presenter(s) who are selected will be notified of the details. A table will be available upon request.  Presenters are required to be present at specified times to discuss their posters.
  
  Size Limitations:
  No larger than 46 inches high and 96 inches wide. This is the size of the poster board. Do NOT exceed the size of the poster board.
  
  Suggestions for Formatting Your Poster:

  • Place heading in large-sized type at the top of the board.
  • List the title and all authors.
  • All material should be readable from distances of three feet or more.
  • You are strongly encouraged to use a font type that is at least 3/8" high (22 pt. minimum).
  • Use bold type to ensure legibility.
  • Make all print very dark (preferably block style) on a very light (preferably white) background.
  • Use letters, arrows, numbers, or other devices to show those who will be viewing your poster the preferred sequence in which your poster should be reviewed.
  • Charts, drawings, and illustrations should be similar to those you would use in making power point slides.
  • If photographs are used, have them processed with a matte or dull finish.

Rules of Abstract Submission

1.  Complete and submit the submission paperwork on or before Thursday, August 28, 2014 through the following means:

•    Mail: Abstracts, CAMASC-FCMS, 625 West College Street, Suite 209, Los Angeles, CA 90012.

If the forms are submitted via fax or email, a hard copy with an original signature must follow via mail. 

2.  Students submitting abstracts must include a letter from their faculty adviser approving the abstract for consideration.

3.  Submissions are limited to one abstract per presenting author. Abstracts should be innovative, and, if possible, preferably original materials which have not been previously published or presented before the 2014 Medical Conference and Exhibit Sessions on Saturday - Sunday, October 11-12, 2014.  Research and/or conclusions must be complete and cannot be in progress. If accepted, the original Abstract Form will be published as camera-ready artwork in the 2014 Conference Program Booklet and/or 2014 Conference Proceedings.

Copyright Release Agreement and Rights to Publish

Abstract author(s)/presenter(s) releases any previous copyrights of materials to be presented at the 17th Conference on Health Care of the Chinese in North America, which includes works from the presentation, handouts, abstracts, and other documents related to the author’s presentation. Author(s)/Presenter(s) also acknowledges and grants CAMASC the unrestricted rights to:

•    Publish Author(s)’s name, photograph/image and presentation materials in the Conference proceedings and brochures and on the CAMASC and FCMS websites for promotional purposes

•    Record, videotape, photograph, and publish the presentation materials as enduring materials for educational purposes

•    Produce and distribute presentation materials on CD-ROMs, DVDs, and/or flash drive for educational, noncommercial, and not-for-profit purposes

Author(s)/Presenter(s) waives and releases CAMASC from any claims associated with the presentation materials and any recordings, videotapes and photographs/images taken.

We recognize and appreciate the significant contributions of our faculty, and we support your ability to present at other educational events and to publish your original research. For these reasons, CAMASC agrees that by obtaining copyright to any recording of your 2014 Medical Conference presentation(s) and a license to related materials, it does not obtain ownership of the copyright in the slides (including those submitted in advance and those presented), posters, handouts, visual aids, images, charts, and other written materials that you submit, use or present in connection with the 2014 Medical Conference (individually and collectively, your "Materials").

Abstract Deadline and Acceptance Procedures

All abstracts must be postmarked on or before Thursday, August 28, 2014 and will be reviewed and selected by the Scientific Program Planning Committee.  Abstracts are reviewed according to the following criteria:

• relevance of abstract to current clinical practice and/or goals of conference
• adequacy of design, methods, instruments, data, and information presented
• congruency of results with objectives
• degree to which conclusions are supported by the given results
• compliance with rules for submission and instructions

Notification of Receipt and Acceptance

1. The Scientific Program Planning Committee will email notifications to all presenting authors that the abstract has been received.
2. Only presenting authors will receive an email notification on the status of their abstract.  No telephone calls regarding abstract status will be accepted.  Notification of abstract status will be issued by Thursday, September 11, 2014.

Abstract Presenter Responsibilities

1.    If your abstract is selected, one author or designee must attend the Conference in order to have it published in the 2014 Conference Program Booklet and/or 2014 Conference Proceedings.  Attendance must be in person and not via alternative participation options.
2.    All abstract presenters are responsible for expenses incurred for the session, including audiovisual development, handouts, shipping, and personal expenses.  All authors and designees who attend the Conference are responsible for making their own travel arrangements and paying the cost of travel and lodging.  Please see www.camasc.org for hotel reservation information.

Publications

Abstracts accepted for oral or poster presentation will only be published in the Conference Program Booklet and/or in the Proceedings of the Seventeenth Conference on Health Care of the Chinese in North America. All abstracts must be submitted on the original Abstract Form to be considered. The Scientific Program Planning Committee reserves the right to publish selected materials.
